This Privacy Policy explains how Technomanya Solution Pvt. Ltd. (“IntelRides”, “we”, “us”, or “our”) collects, uses, discloses, stores, and protects information in connection with the IntelRides website, applications, software platforms, and related services (collectively, the “Services”).

This Policy should be read together with our Terms & Conditions. By accessing or using IntelRides, you agree to the practices described in this Policy. If you do not agree, you should not use the applicable Service.

1. Scope of This Policy

This Policy applies to information collected through:

  • Our website and applications
  • Driver and attendant applications
  • Transport manager/admin applications
  • Parent/guardian applications and notifications
  • GPS tracking and route monitoring features
  • Camera/surveillance features, where subscribed
  • Customer support and communication channels

This Policy applies to schools, administrators, parents/guardians, drivers, attendants, and other authorized users of the Services. Where information relates to students, it is generally provided to us by the school or parent/guardian rather than collected directly from the student.

2. Information We Collect

2.1 Information Provided by Schools and Administrators

  • Student names, class/section, and enrollment details relevant to transportation
  • Parent/guardian names and contact details
  • Route, vehicle, and driver assignment information
  • Staff and administrator account details

2.2 Information Provided by Parents/Guardians

  • Account registration details (name, phone number, email address)
  • Pickup/drop preferences and related instructions
  • Communications submitted through the app or support channels

2.3 Information Relating to Drivers and Attendants

  • License and vehicle-related details, where required by the school
  • Attendance and duty-related information

2.5 Camera and Surveillance Data Where a school has subscribed to camera/surveillance features, video footage may be captured from applicable vehicles. Access to this footage is controlled by the school and its authorized administrators, not by parents/guardians or the general public, unless the school configures otherwise.

2.6 Device and Usage Data Device type, operating system, app version, IP address, and general usage/log data collected automatically when the Services are used, for security, diagnostics, and service improvement.

2.7 Communications Notifications, in-app messages, and support communications exchanged through the platform.

3. How We Use Information

We use the information described above to:

  • Provide bus tracking, route monitoring, and pickup/drop management
  • Send notifications and alerts (departure, arrival, deviations, attendance, emergencies, announcements)
  • Enable camera/surveillance access for authorized school administrators, where subscribed
  • Maintain and improve platform performance, security, and reliability
  • Respond to support requests and communications
  • Meet the school’s or customer’s obligations under the applicable commercial agreement
  • Comply with applicable law and respond to lawful requests from authorities

We do not use student or parent/guardian information for advertising, and we do not sell personal data to third parties.

4. Student Information

Because IntelRides is used in a school transportation context, information relating to students is treated with particular care:

  • Student-related information is provided to us by the school or parent/guardian, on the basis of the school’s own authorization and consent processes with parents/guardians.
  • Student information is used only to support transportation-related functions such as pickup/drop management, attendance, and notifications, and is not used for behavioral tracking, profiling, or targeted advertising.
  • Schools are responsible for ensuring that the information they share with us, and the manner in which they enable parent/guardian access, complies with applicable requirements for information relating to children, including appropriate parental/guardian consent.
  • Where applicable law treats a user as a child, we rely on the school or parent/guardian to provide any consent required for processing, consistent with India’s Digital Personal Data Protection Act, 2023, and its rules.

5. Camera and Surveillance Data Handling

  • Where camera services are subscribed, footage is stored in accordance with the applicable subscription plan and hardware/storage capacity.
  • Access is restricted to individuals authorized by the school, in line with permissions the school configures.
  • Footage must not be recorded, copied, distributed, or published by users except as authorized by the school for legitimate transportation or safety purposes.
  • Retention periods for footage depend on storage capacity and the applicable commercial agreement, after which footage may be automatically overwritten or deleted.

6. How We Share Information

We may share information:

  • With the school or transport operator that administers the relevant account, since they are the primary data controller for student and parent/guardian information
  • With drivers, attendants, or administrators, to the extent necessary to operate the Service (e.g., a driver’s assigned route)
  • With service providers who support hosting, infrastructure, SMS/notification delivery, or technical support, under confidentiality and data protection obligations
  • With authorities, where required by law, regulation, or a valid legal process
  • In connection with a business transaction (such as a merger or acquisition), subject to continued protection of the information under a policy at least as protective as this one

We do not share student, parent/guardian, or driver information with third parties for their own marketing purposes.

7. Data Storage and Security

We apply administrative, technical, and organizational safeguards designed to protect information against unauthorized access, alteration, disclosure, or destruction, including access controls, encryption in transit where applicable, and restricted administrative access. No system can be guaranteed 100% secure, and we encourage users to keep login credentials confidential and report suspected unauthorized access immediately.

8. Data Retention

We retain information for as long as necessary to provide the Services, fulfil the purposes described in this Policy, and meet legal, accounting, or reporting requirements. Retention periods may vary depending on the type of data (for example, GPS logs and camera footage are typically retained for shorter periods than account or billing records) and the terms of the applicable commercial agreement with the school.

9. Your Rights

Subject to applicable law, including India’s Digital Personal Data Protection Act, 2023, individuals may have rights to:

  • Be informed about the collection and purpose of processing of their personal data
  • Access the personal data held about them
  • Request correction or updating of inaccurate or incomplete data
  • Request erasure of personal data that is no longer necessary for the purpose it was collected
  • Withdraw consent, where processing is based on consent, without affecting the lawfulness of prior processing
  • Nominate a representative to exercise these rights in certain circumstances

Requests relating to student data should generally be directed to the school, as the school administers student and parent/guardian accounts. Requests relating to an individual’s own account may be directed to us using the contact details in Section 14.

10. Cookies and Similar Technologies

Our website and applications may use cookies or similar technologies to support essential functionality, remember preferences, and understand general usage patterns. Where required by law, we will seek appropriate consent for non-essential cookies. Users can generally manage cookie preferences through their browser or device settings.

11. Third-Party Services

The Services may integrate with third-party technologies, hosting providers, mapping services, communication/SMS gateways, or hardware providers. These third parties process information only to the extent necessary to provide their function to us, and are not authorized to use it for their own independent purposes. This Policy does not cover the practices of third-party services that we do not control.

12. International Data Transfers

Where information is processed or stored outside India, we take steps intended to ensure it continues to receive an appropriate level of protection, consistent with applicable law, including any restrictions on cross-border transfer under India’s data protection framework.

13. Changes to This Policy

We may update this Privacy Policy from time to time. Updated versions will be published on this page with a revised “Last Updated” date. Continued use of the Services after an update may constitute acceptance of the updated Policy, subject to applicable law.
